Use the whole Progresso suite

A practical guide for members, managers, and owners—from starting the day and completing tickets to reviewing agency performance and connecting an AI assistant.

Getting started

  1. 1Sign in with your authorized Google account.
  2. 2Open Dashboard to see today’s attendance, active work, due tickets, leads needing attention, and calendar.
  3. 3Open your profile to confirm your name and role. Owners can configure the agency, members, boards, weekly email, exports, and MCP in Settings.
  4. 4Allow browser notifications when prompted so inactivity and checkout warnings can reach you.

Good to know: Recommended first-day setup: join the correct projects, confirm ticket assignments, enable notifications, then test check-in, start a ticket timer, and check out once.

Recommended daily workflow

  1. 1Check in from the Dashboard or Time page when your workday begins.
  2. 2Start the timer from the ticket you are actively working on. Stop or switch it when the task changes.
  3. 3Add decisions, links, blockers, and progress to the ticket’s Collab area so the work remains understandable.
  4. 4When moving a ticket to Done, enter a completion note. Progresso automatically adds it to Collab with your identity and timestamp.
  5. 5Review AI tracking suggestions, approve correct work, correct its ticket when needed, and dismiss personal or irrelevant activity.
  6. 6Check out when finished. If inactivity is detected, respond to the warning so work does not continue untracked.

Boards, tickets, and Collab

Boards

Drag tickets between workflow columns. Project boards keep delivery work grouped; the Main board can link across projects.

Tickets

Set the owner, client, project, due date, tags, payment information, description, and assignees.

Sub-tickets

Break delivery into smaller outcomes and track completion progress on the parent ticket.

Collab

Use comments, mentions, documents, presence, and completion notes as the durable record of what happened.

Timers

Start a timer directly from a ticket so the time entry carries the correct work context.

Closing work

A completion note is required in current closing flows and is automatically posted to Collab.

Time tracking and local AI assistance

Standard tracking

Check-in records attendance; ticket timers record the work itself. Inactivity protection warns before automatic checkout. Keep browser notifications enabled and return to the Progresso tab when warned.

Local AI tracker

  1. 1The Mac tracker samples active application and window-title metadata; it does not capture screenshots.
  2. 2Raw records and learned examples are stored privately in the local .ai-tracker-data folder.
  3. 3A tiny local classifier handles familiar work and dismissed personal contexts.
  4. 4Gemma starts only for ambiguous activity and unloads immediately after each answer; it is never fine-tuned.
  5. 5Review suggestions on Time. Approval creates tracked time, changing the ticket teaches the correct context, and dismissal teaches non-work.

Good to know: Personal or sensitive applications can be excluded. Nothing in the AI inbox becomes a time entry until you approve it.

Projects, clients, calendar, and to-dos

Projects

Organize delivery, tickets, team membership, documents, and related financial work.

Clients

Keep contact and commercial context connected to projects and tickets.

Calendar

View agency dates and optionally add ticket due dates to Google Calendar.

To-dos

Maintain personal lists for small actions that do not need a full delivery ticket.

Leads and financials

Use Leads as the CRM pipeline: assign ownership, update stages, schedule follow-ups, and keep notes current. Financials connects paid work and project value so owners can monitor outstanding amounts and revenue context. Access depends on role.

Insights, exports, and weekly email

Member insights

Review attendance, time, work patterns, tickets touched, comments, and individual highlights.

Agency insights

See team totals, attendance, active and completed delivery, performance signals, and financial context.

Export

Download full insights per member or for the agency for offline review and reporting.

Email sharing

Send full insight reports from Settings and configure weekly rollout emails containing the expanded member and agency view.

Owners manage recipients and rollout behavior in Settings.

MCP connector

MCP lets compatible AI clients work with live Progresso data under your existing account permissions. Open Settings → MCP connector, copy the generated configuration, paste it into your client, restart the client, then test by asking for the dashboard pulse or your tickets.

Roles, privacy, and security

Guest

Limited access to assigned delivery surfaces.

Member

Day-to-day boards, projects, time, collaboration, calendar, and personal work.

Manager

Broader team and operational visibility where permitted.

Owner

Agency configuration, members, insights, email rollout, exports, financials, and connectors.

  • Never share access tokens, refresh tokens, or service-role credentials.
  • Do not commit environment files or MCP configurations containing credentials.
  • MCP follows the signed-in user’s database permissions.
  • Use global sign-out and issue fresh connector credentials if a token may be exposed.

Troubleshooting

Missing inactivity warning

Enable browser notifications, confirm Progresso is allowed in macOS notification settings, and keep the browser running.

Time is not tracked

Confirm you are checked in and a ticket timer is active. Review the Time page for an automatic checkout message.

AI tracker shows nothing

Start the local tracker, confirm macOS Accessibility permission, and verify the Time page after a full activity block ends.

MCP authentication fails

Return to connector settings, refresh credentials, replace the refresh token in the MCP client, and restart it.

Wrong AI classification

Choose the correct ticket before approval or dismiss non-work. The local learner uses that feedback on similar activity.

No email report

Owners should verify weekly rollout is enabled, recipients are active, and outbound email configuration is valid.
